Job Summary:
Oversees the daily operations of the secretarial services in the Southern Facility.
Qualifications:
- High school graduate
- One year of secretarial experience.
Essential Functions:
- Works with regional facilitators in matters concerning office operations, including correspondence, reports, mailings and maintenance of supplies.
- Serves as the resource person for the facility’s voice mail system and all of its components.
- Monitors the daily operations of secretarial support services.
- Prepares and maintains regional bookkeeping records including, but not limited to, invoices, purchase orders, expense and revenue reports.
- Maintains organizational files, records and calendars.
- Assists with organization, planning and implementation of meetings and other projects.
- Initiates, places, receives and responds to various communications (e.g. telephone, e-mail, facsimiles) from internal and external clients.
- Assists with internal and external client requests for information and materials.
- Provides training to other secretaries and staff.
Additional Responsibilities:
- Keeps work area(s) well organized.
- Serves as receptionist for Southern Facility.
- Develops and maintains proper and adequate records and documentation in accordance with Agency policies and procedures.
- Participates in projects, committees or activities to support the mission of the department, unit and Agency.
- Participates in staff development and professional growth activities.
- Performs such other duties as may be assigned.
Knowledge, Skills and Abilities:
- Ability to communicate effectively and maintain effective working relationships.
- Ability to function effectively in a leadership role and as a team member.
- Good knowledge of general office practices and business English.
- Ability to work independently without constant direction.
- Proficient in computer skills, including word processing and databases.
- Ability to convey a positive and professional image to staff and public.
- Ability to process, categorize and file information and forms in accordance with Agency procedures.
- Ability to handle information in a confidential manner.
- Ability to read and interpret documents, write reports and correspondence, and apply appropriate mathematical concepts.
Physical Requirements:
- Normal, routine levels of bending, carrying, lifting, climbing, reaching, sitting, standing, and walking.
- Sufficient manual dexterity to be able to operate office equipment including, but not limited to, computers, fax machines, copy machines, typewriters, telephones.
