Job Summary:

Oversees the daily operations of the secretarial services in the Southern Facility.

Qualifications:

  1. High school graduate
  2. One year of secretarial experience.

Essential Functions:

  1. Works with regional facilitators in matters concerning office operations, including correspondence, reports, mailings and maintenance of supplies.
  2. Serves as the resource person for the facility’s voice mail system and all of its components.
  3. Monitors the daily operations of secretarial support services.
  4. Prepares and maintains regional bookkeeping records including, but not limited to, invoices, purchase orders, expense and revenue reports.
  5. Maintains organizational files, records and calendars.
  6. Assists with organization, planning and implementation of meetings and other projects.
  7. Initiates, places, receives and responds to various communications (e.g. telephone, e-mail, facsimiles) from internal and external clients.
  8. Assists with internal and external client requests for information and materials.
  9. Provides training to other secretaries and staff.

Additional Responsibilities:

  1. Keeps work area(s) well organized.
  2. Serves as receptionist for Southern Facility.
  3. Develops and maintains proper and adequate records and documentation in accordance with Agency policies and procedures.
  4. Participates in projects, committees or activities to support the mission of the department, unit and Agency.
  5. Participates in staff development and professional growth activities.
  6. Performs such other duties as may be assigned.

Knowledge, Skills and Abilities:

  1. Ability to communicate effectively and maintain effective working relationships.
  2. Ability to function effectively in a leadership role and as a team member.
  3. Good knowledge of general office practices and business English.
  4. Ability to work independently without constant direction.
  5. Proficient in computer skills, including word processing and databases.
  6. Ability to convey a positive and professional image to staff and public.
  7. Ability to process, categorize and file information and forms in accordance with Agency procedures.
  8. Ability to handle information in a confidential manner.
  9. Ability to read and interpret documents, write reports and correspondence, and apply appropriate mathematical concepts.

Physical Requirements:

  1. Normal, routine levels of bending, carrying, lifting, climbing, reaching, sitting, standing, and walking.
  2. Sufficient manual dexterity to be able to operate office equipment including, but not limited to, computers, fax machines, copy machines, typewriters, telephones.
