Job Summary:

Operates the switchboard, responds to information requests, greets visitors, and assists with maintaining the Conference Center.

Qualifications:

  1. High school graduate
  2. Six months of clerical experience

Essential Functions:

  1. Operates a multipurpose telephone switchboard to relay incoming, outgoing and interoffice calls.
  2. Responds appropriately to requests for information and assures exchange of pertinent information to relief operators.
  3. Greets all visitors courteously, determines their needs and directs them to the proper person or area.
  4. Maintains working knowledge of the Agency and acts in harmony with Agency procedures.
  5. Organizes coverage for switchboard, which includes maintaining communication and scheduling with relief operators.

Additional Responsibilities:

  1. Develops and maintains proper and adequate records and documentation in accordance with Agency policies and procedures.
  2. Participates in projects, committees or activities to support the mission of the department, unit and Agency.
  3. Participates in staff development and professional growth activities.
  4. Collects data and reports semi-annually on phone use and receptionist activity.
  5. Assists with Clippings service.
  6. Assists with production and distribution of Agency publications.
  7. Accepts items delivered to the reception area and forwards them to the appropriate person or area.
  8. Maintains orderliness in the reception area.
  9. Performs such other duties as may be assigned.

Physical Requirements:

  1. Normal, routine levels of bending, carrying, lifting, climbing, reaching, sitting, standing, and walking.
  2. Sufficient manual dexterity to be able to operate office equipment including, but not limited to, computers, fax machines, copy machines, typewriters, telephones.
