Information Management System (IMS) Operator

Job Summary:
Assists the Facilitator in monitoring preparation of all input data, enters data as scheduled, and prepares output for delivery to clients. Also serves as the contact person for issues related to IMS.

Qualifications:

  1. High school graduate
  2. Two years of clerical/secretarial experience, including data entry.

Essential Functions:

  1. Enters data based on student change forms, tuition in/out, staff assignments, individualized education plans (IEPs) and Medicaid.
  2. Maintains accurate and timely records for contracts; billings; Agency, state and federal reports; Child Count; District Court placed children; compliance reviews; referrals; and reports for the Business Office and local education agencies.
  3. Meets client needs in person, by phone, or electronic mail.
  4. Maintains contact with AEAs and local education agencies throughout the state in regard to tuition in and tuition out information.

Additional Responsibilities:

  1. Monitors the daily operations of IMS, including ordering and maintaining materials and supplies.
  2. Develops and modifies data output formats.
  3. Performs related clerical duties including maintaining and filing required records and verification reports.
  4. Develops and implements training materials and provides on-going support for IMS users.
  5. Works with Facilitator in matters concerning the operation of IMS, and provides input to Facilitator on training and equipment needs of the program.
  6. Participates in projects, committees or activities to support the mission of the program, unit and Agency.
  7. Participates in staff development and professional growth activities.
  8. Performs other such duties as may be assigned.

Knowledge, Skills and Abilities:

  1. Ability to communicate effectively and maintain effective working relationships.
  2. Ability to collaborate and resolve issues effectively as a team member and/or independently as appropriate.
  3. Proficiency in typing, word processing and data base applications.
  4. Ability to perform basic mathematical operations and apply appropriate mathematical concepts.
  5. Ability to handle information in a confidential manner.
  6. Ability to read and interpret documents, write reports and correspondence.

Physical Requirements:

  1. Normal, routine levels of bending, lifting, carrying, climbing, reaching, sitting, standing, and walking.
  2. Sufficient manual dexterity to be able to operate office equipment needed to complete responsibilities including, but not limited to, computers, fax machines, calculators, copy machines, typewriters, telephones.
